Some of our clients are using Gmail's "Send As" functionality to send messages from their personal Gmail account.  This allows messages to appear to come from a custom domain email address (a "3rd Party" address), like "user@mydomainname.com".  If you are using a personal Gmail account to read your custom domain's email or to send mail as your custom domain email address, you will be affected.   Google announced this at https://support.google.com/mail/answer/22370 and https://support.google.com/mail/answer/17101213 and is notifying users within Gmail Apps throughout 2026. 

In order to continue sending email from your custom email address, there are several options.  Please Contact Support to discuss options we have available for maintaining your custom email address.  We have outlined options on other posts found on our Service Status Page. 

Google is also in the process of retiring the ability to check email from custom mail accounts and import that mail into your personal Gmail account. Please see our Service Status Page for additional information.

What is Changing:

Starting in January 2026, Google is permanently discontinuing the ability to fetch emails from third-party accounts into Gmail using the POP3 protocol. This specifically impacts the "Check mail from other accounts" feature found in the browser version of Gmail.  You will no longer be able to use a personal Gmail account as a central "hub" that automatically pulls in new messages from external email providers (like your custom email address at FPOHosting) via POP3.

Google will turn off the ability to enable this feature in January 2026.  Existing users retrieving email will continue to work until January 2027 when the "Check mail from other accounts" feature is turned off for everyone.

What you need to do:

Read the below options and Contact Support with additional questions and for assistance transitioning to your new mail flow.

1.  Decide whether you want to maintain both your custom domain email address, AND Gmail, or whether you would like them to be one address/one account.

One Account Options:  These options preserve being able to send "from" your custom address, such as: user@yourdomain.com

A. Subscribe to Google Workspace to get your domain email in Gmail.  Your mailbox will live on Google servers and you will retain all the benefits of the free Gmail box you have been enjoying, but with your custom domain.  Google Workspace mailboxes start at (monthly) $9 per mailbox for "lite" or $16 per mailbox for "standard", which includes 2 TB of Google Drive storage and access to their web apps.  You must buy 1 additional "administrator" license (number of mailboxes + 1) to administer the platform, so the minimum number of mailboxes is 2 with this option.

B. Subscribe to Microsoft 365 for Business.  Your mailbox will live on Microsoft servers and you retain all the benefits of Microsoft Outlook email, but with your custom domain.  Microsoft 365 Mailboxes for Small Business start at (monthly, paid annually) $7.40 per mailbox for "basic", or $12.79 per mailbox for "standard", which includes OneDrive storage and the full Desktop Software stack: Outlook, Excel, Word, PowerPoint, and many others.   Options are available to add Teams (for video calling and file sharing/collaboration) and CoPilot AI features.

C. Subscribe to our FastMail service, where you can forward your messages back to your personal Gmail and use the FastMail mailbox for spam filtering and features on par with Gmail (mailboxes are as low as $2 per month per box when buying 6 mailboxes, up to $5/month ($60 per year) for a single mailbox.  You can forward your Gmail to Fastmail or Fastmail to Gmail.  

Two Account Options:  

A. Use any of the above solutions and keep your mailboxes separate (ie: business/nonprofit separate from personal).

B. Use the free (no extra cost) mailbox on your FPO Hosting plan to manage your custom domain mail (ie: user@yourdomain.com).

C. These options will require adding your custom address (ie: email@yourdomain.com) to a mail client (Gmail Mobile, iMail, Outlook, Thunderbird, etc) where you can check two mailboxes in one interface.  Instructions for adding your FPOHosting Email Account to your Mobile Gmail App can be found at: https://support.google.com/mail/answer/6078445
